1. Overview
KRA and KPI weights help define the importance of different performance areas in an evaluation.
A KRA (Key Result Area) represents a major area of responsibility, while a KPI (Key Performance Indicator) represents measurable items within that KRA.
Weights determine how much each KRA and KPI contributes to the final evaluation score.
Example:
| KRA | Weight |
| Sales Performance | 40% |
| Customer Service | 60% |
In this example, Customer Service contributes more to the final evaluation score than Sales Performance.
2. Types of Weights in AssessTEAM
AssessTEAM supports three types of weights:
| Weight Type | Purpose |
| KRA Master Weight | Used when the same weighting should apply to everyone assigned to that KRA |
| Person Profile Weight | Used when a specific person requires a different weighting |
| Automatic KPI Weight | Used when KPI weights are not manually configured |
3. Weight Priority Rule
AssessTEAM applies weights based on priority. The weight entered at the lowest and most specific level takes precedence.
Priority Order
Person Profile Weight → KRA Master Weight → No Weight
| Setup | Weight Used |
| Weight exists only in KRA Master | KRA Master weight |
| Weight exists in both KRA Master and Person Profile | Person Profile weight |
| Weight exists only in Person Profile | Person Profile weight |
| No weight exists | No manual weight applied |
Example: Weight Override
KRA Master
| KRA | Weight |
| Sales Performance | 40% |
| Customer Service | 60% |
Person Profile
| KRA | Weight |
| Sales Performance | 70% |
| Customer Service | 30% |
Since the person profile weight is more specific, AssessTEAM uses:
| KRA | Applied Weight |
| Sales Performance | 70% |
| Customer Service | 30% |
The KRA Master weight is overridden for this person only.
4. When is an Evaluation Weighted?
An evaluation is considered weighted only when the final applied KRA weights total exactly 100%.
AssessTEAM checks the final weights after applying the priority rules.
Examples
| Final KRA Weight Total | Result |
| 100% | Weighted evaluation |
| Less than 100% | Not a weighted evaluation |
| More than 100% | Invalid setup |
| No weights entered | Not a weighted evaluation |
Example 1: Weighted Evaluation
KRA Master:
| KRA | Weight |
| Business Growth | 40% |
| Customer Service | 60% |
Total = 100%
Result: Weighted evaluation
Example 2: Person Override
KRA Master:
| KRA | Weight |
| Business Growth | 40% |
| Customer Service | 60% |
Person Profile:
| KRA | Weight |
| Business Growth | 70% |
| Customer Service | 30% |
Total = 100%
Result: Weighted evaluation using person profile weights
Example 3: Invalid Weighted Setup
Person Profile:
| KRA | Weight |
| Business Growth | 50% |
Total = 50%
Result: Not a weighted evaluation
5. KPI Weight Priority
KPI weights follow the same priority concept.
Priority Order
Person Profile KPI Weight → KRA Master KPI Weight → Automatic KPI Weight
| KPI Setup | Weight Used |
| Master KPI weights exist only | Master KPI weights |
| Master and local KPI weights exist | Person profile KPI weights |
| No KPI weights exist | Automatic KPI distribution |
6. KPI Weight Rules
KPI weights are calculated separately inside each KRA.
If manual KPI weights are entered:
- The KPI weights inside that KRA must total exactly 100%.
Example:
| KPI | Weight |
| Sales Target | 70% |
| Customer Acquisition | 30% |
Total = 100%
If KPI weights are not entered:
- AssessTEAM automatically distributes 100% across the KPIs.
- Automatic weights use whole numbers only.
Examples:
| Number of KPIs | Automatic Distribution |
| 1 | 100% |
| 2 | 50%, 50% |
| 3 | 34%, 33%, 33% |
| 4 | 25%, 25%, 25%, 25% |
| 5 | 20%, 20%, 20%, 20%, 20% |
Note:
AssessTEAM does not use decimal values such as 33.33%, 33.33%, and 33.34%.
7. Setting Up Weights
Step 1: Decide where the weight should be configured
Use KRA Master Weight when:
- The same weighting applies to multiple users.
Use Person Profile Weight when:
- A specific person requires a different weighting.
Step 2: Configure KRA Master Weights
- Open the KRA Master.
- Select or create a KRA.
- Enter KRA weights if required.
- Enter KPI weights if KPIs have different importance.
- Ensure KPI weights total 100%.
- Save the KRA.
Step 3: Assign KRA to Person Profile
- Open the person’s profile.
- Assign the required KRA.
- If master weights are available, do not copy the same weights into the profile.
- Add person-specific weights only when an override is required.
- Save the profile.
8. Complete Example
KRA Setup
| KRA | Weight Source | Weight |
| Business Growth | Person Profile | 40% |
| Customer Service | KRA Master | 60% |
Total KRA Weight = 100%
KPI Setup
Business Growth
| KPI | Weight Source | Weight |
| Sales Target | Manual | 70% |
| Customer Acquisition | Manual | 30% |
Customer Service
No KPI weights entered.
AssessTEAM automatically applies:
| KPI | Weight |
| Query Resolution | 50% |
| Documentation Accuracy | 50% |
9. Common Mistakes
| Issue | Reason | Solution |
| Person weight is not used | Master weight exists and person weight was not saved | Verify person profile setup |
| Master weight is not visible | Person profile weight overrides it | Remove local weight if master should apply |
| Evaluation is not weighted | Final KRA weights do not total 100% | Correct KRA weights |
| KPI weights are unexpected | No manual KPI weights were entered | Automatic distribution is applied |
| KPI percentage changed | KPI count or order changed | Review automatic distribution |
10. Final Validation Checklist
Before starting a weighted evaluation:
☐ Final KRA weights total exactly 100%
☐ Correct weight source is being used
☐ Person profile weights are used only when an override is required
☐ Manual KPI weights inside each KRA total 100%
☐ Automatic KPI weights total 100%
☐ Automatic KPI weights do not contain decimals
☐ Evaluation screen shows the expected KRA and KPI weights
Summary
- Use KRA Master weights when the same weighting applies to everyone.
- Use Person Profile weights when a specific person needs different weighting.
- Person Profile weights override KRA Master weights.
- KPI weights follow the same priority rule.
- An evaluation becomes weighted only when the final applied KRA weights total 100%.
- When KPI weights are missing, AssessTEAM automatically distributes KPI weights equally using whole numbers.
