A healthcare organization that offers programs specifically designed to meet the unique needs of children and families affected by autism spectrum disorders and other developmental disabilities. Each program begins with a comprehensive assessment of the child’s current skill level as well as their behavioral patterns. The organization has locations across Los Angeles County – Santa Clarita, Calabasas, Palmdale, Sherman Oaks, and Denver, Colorado – and has provided invaluable early intervention services for more than 12 years.
Need
With an ever-growing employee strength of more than 300 team members, better and more effective employee assessment was a significant initiative. The organization felt that while they were evolving as a company, their employee review system was archaic and ineffective. They knew the importance of having the right people in the right jobs, making an efficient performance management system a prime agenda.
The team consisted of more than 50 managers with a rotating team that changed after the completion of each project. In an increasingly collaborative and knowledge-intensive workplace, it was becoming tedious and ineffective to review team member performances after each project.
The current system assigned all managers their dedicated team members, but the agile organizational structure made it challenging to evaluate employees when teams shuffled. It was cumbersome for HR and management to provide a foundation for determining increments, succession plans, and organizational development. In summary, the performance review system was not conducive to driving organizational growth.
The challenge was two-fold: providing an effective platform for managers to review their teams and devising a comprehensive yet straightforward employee performance evaluation process that could fit the changing roles of team members for each project.
Solution
The task of updating and consolidating the performance management process fell to AssessTEAM. The job was to implement a single automated system usable for all employees across all locations. The concierge team at AssessTEAM devised an effective solution.
The first idea was to make all managers evaluators and schedule evaluations every quarter. However, this would result in managers receiving hundreds of emails every quarter, making it difficult to manage. What was required was a simple way for managers to evaluate changing team members without following a tedious mail trail or cumbersome process.
Working closely with the management, AssessTEAM drew up a list of criteria for the new system to meet strategic goals. Ease of use was top of the list. The system also had to save time, be web-based for accessibility, and be flexible to incorporate core competencies into different forms.
